Chicken & Egg Pictures is seeking an Operations Coordinator to support and manage a diverse range of financial, operations, and HR activities; coordinate the day-to-day operations of the office; and serve as a key liaison between operations and other departments and staff, and to outside operations contractors and vendors.

As part of a collaborative and ambitious organization, this position provides ample opportunity for professional growth and to learn important aspects of nonprofit management. This individual will also have the opportunity to contribute to the continued development of Chicken & Egg Pictures. In recruiting for this newly created position (you’ll be our 11th staff person!), we’re seeking a colleague who is flexible and will complement and grow with our team. This position is ideal for someone who wants to contribute to strengthening the internal systems and processes of an organization committed to reflecting its values in excellent management practices. The Operations Coordinator will learn about the behind-the-scenes activities of a team working at the intersection of gender equity, social justice, and documentary film. Next year will be an exciting one at Chicken & Egg Pictures, when we will be dreaming big to develop our 2023–2025 Strategic Plan.

Who We Are

Chicken & Egg Pictures is a 501(c)(3) nonprofit organization that supports women and gender nonconforming documentary filmmakers whose artful and innovative storytelling catalyzes social change. We envision an inclusive media industry in which women and gender nonconforming filmmakers, representing a range of experiences and backgrounds, are fully supported to realize their artistic goals, and build fulfilling careers in the documentary film industry.

Since 2005, we have supported over 340 filmmakers, providing over $8 million in grants and thousands of hours of mentorship and creative support. We are known for our ability to spot exciting new talent and compelling projects with great potential. We elevate and amplify voices that make universal themes accessible, personal, and resonant. What You’ll Do

This is an intermediate-level position that reports to the Director of Operations & Innovation (DOI) and works closely with an external financial consultant and our managed IT services firm. Your responsibilities will include:

Financial 

  • Coordinate day-to-day confidential financial functions of the organization, including: processing of payments, expenses, and revenue; and monthly financial statement reviews and reconciliations 
  • Manage the budget for office and administration expenses, in collaboration with DOI
  • Coordinate the annual budget development process and audit; presentations for the Board of Directors; and budgets and reports for funders

Office

  • Ensure an organized and smooth-running office, including: managing office supplies and equipment; coordinating technical support; maintaining and updating telecommunications systems and CRM, as needed; and serving as a primary contact for vendors, landlords, and staff 
  • Manage scheduling and logistics for staff meetings and for organizational activities and travel
  • Support planning and implementation of pandemic/post-pandemic workplace practices and policies 

Operations 

  • Recommend insightful approaches, solutions, and tools to strengthen internal systems; and work with DOI and staff to implement for operational effectiveness
  • Coordinate contracts, insurance renewals, invoices, legal compliance documents, and related processes; and maintain documents and records on the server
  • Contribute to the development and tracking of the annual operations work plan
  • Provide administrative and logistical support to the DOI 
  • Support other projects and manage other tasks, as assigned

HR - People, Talent, and Culture  

  • Foster positive relationships with all staff and serve as first point of contact for inquiries related to benefits, policies, and other general HR matters, helping to navigate information and resources  
  • Manage and support confidential and sensitive HR processes, policies, and transactions, including those related to payroll, recruitment, onboarding/offboarding, benefits, and employee policies
  • Develop ideas and coordinate staff activities that nurture our joyful and collaborative work culture and environment, and uphold our Diversity, Equity, and Inclusion (DEI) values, in collaboration with the DOI

You know this about yourself given your work experience and your confidence in the skills you’ve acquired. You have at least 2–3 years of experience working for a nonprofit organization or other related work experience.   1. Project and Process Management Skills: Thanks to your meticulous attention to detail, anticipation of obstacles, and prioritization skills, you are adept at independently managing projects and processes that require accuracy and follow-through. Whether you are managing benefit enrollments or organizing a staff activity, your approach is methodical, creative, and enthusiastic. A complex spreadsheet with many tabs feels like second nature, and you excel at finding ways to make processes better.
  2. Systems and Technology Proficiency: You are tech savvy and a “systems person.” You quickly learn new tools and platforms, and troubleshoot tech issues. You delight in developing new ways to work more effectively. You have a good deal of experience in a wide range of platforms and apps, such as G Suite, Salesforce, and Excel. If you do not have experience with a specific application, you are confident in your ability to learn and master it.
  3. Communication and Teamwork Skills: You enjoy working behind-the-scenes, making sure that your organization shines externally. You are skilled in effective communication and relationship-building skills with a diverse range of people. Good humor, initiative, and flexibility are among the traits you bring to the table. From daily emails and phone calls to presentations to the Board, your communication of information is kind, tailored, and clear.

What Else You Should Know

Start date: Mid–late July 2021.

Deadline: Applications will be processed on a rolling basis until the position is filled. Early submission of your application is recommended. First round interviews will take place in late May or early June or early June. Please note that our office is closed May 31.  

Application Process: If your application is moved forward, the application process may include up to three interview rounds with Chicken & Egg Pictures team members. Finalists will be sent a prompt and asked to submit a pre-employment exercise, for which they will receive an honorarium. 

Location: This position is based in our office in Brooklyn, NY. All staff are currently teleworking due to the COVID-19 pandemic. When it’s safe, occasional travel may be required, with advance notice.

Compensation: The minimum annual compensation is $50,000 for a 40-hour week. This is a non-exempt position that is eligible for overtime. Our benefits currently include: 100% premium coverage of health, dental, and vision insurance for employees and their dependents, plus life and short and long-term disability insurances. Flexible spending accounts for medical and transit expenses. A 403(b) plan with a matching employer contribution. Annually 15 vacation days (20 at the two-year mark), 10 safe and sick leave days, and 3 personal days. The office is closed for 9 holidays, in addition to December 24-31.
