Finance and Office Administrator (Remote)

Do you have an affinity with the Film industry? Do you understand what a Film Commission does? Have you worked in a 501c3 Non-profit membership organization before? The Association of Film Commissioners International is looking for a superstar to come with us on our new journey. 

Duties and Responsibilities:

  • Accounts Receivable and Membership Support:
  • Prepare and send estimates and/or invoices for new memberships, existing memberships, AFCI University enrollments, and event registrations.
  • Process payments (credit card, check, etc.) and maintain accurate records in QuickBooks.
  • Generate and distribute invoice and receipt copies to members upon request.
  • Assist with sending membership certificates.
  • Address low-level membership issues related to documents, payments, and updates.
  • Follow up on debts and ensure members have filled out all of their forms as required
  • Provide exceptional service to existing and new members through daily email and phone correspondence.
  • Guide new members through the onboarding process, ensuring accurate data entry and timely document collection.
  • Data Management:
  • Ensure consistency and accuracy across Salesforce, QuickBooks, and Mailchimp platforms.
  • Collaborate with the team to maintain a clean and organized member database.

Additional Duties:

  • Follow up on overdue accounts via phone and email.
  • Assist with contractors' document gathering as needed.
  • Participate in cross-functional projects and support team initiatives.
  • And other duties as assigned.

Qualifications:

  • Bachelor's degree in a relevant field
  • Minimum 2 years of related experience in accounting or administrative support.
  • Ability to work Monday to Friday PST hours
  • Part-time (approximately 20-30 hours per week depending on priorities)
  • Ideally reside in Los Angeles

Skills:

  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Suite and accounting software (QuickBooks preferred).
  • Proficiency in SalesForce
  • Knowledge of project management software (Asana preferred).
  • Ability to work independently and as part of a team.
  • Detail-oriented with a keen eye for accuracy.
  • Passion for building positive relationships and providing exceptional service.
  • High degree of accuracy
  • Great attention to detail
  • Strong customer service skills

Compensation:

Part-Time 25-30 hours a week.

Hourly rate dependent on experience and technical skills ($22 to $26 per hour).

6 Month Contract with potential to go full-time permanent
