Part-Time Executive Director (Administrative & Operations Support)

Key Responsibilities

Administrative & Operational Support 

• Provide day-to-day administrative support to the CEO and President 
• Manage and organize key documents, files, and records 
• Track and maintain expense receipts and supporting documentation 
• Assist with scheduling, coordination, and general operational tasks 

Compliance & Filings 

  • Prepare and coordinate state filings and regulatory submissions 
  • Track compliance deadlines and ensure timely completion of required filings
  • Support the organization’s adherence to governance and regulatory requirements 

Liaison to External Consultants

  • Serve as the primary point of contact for external consultants (e.g., accountants, compliance advisors, legal counsel) 
  • Coordinate information requests and ensure timely follow-up from the organization 
  • Support consultants such as YPTC by providing documentation and responding to inquiries 

Financial & Documentation Support 

  • Assist with collection and organization of financial documentation
  • Support the tracking and maintenance of expense records 
  • Ensure documentation is complete and accessible for accounting and audit purposes

General Organizational Support

  • Support internal coordination of projects and initiatives 
  • Assist with special projects as needed by leadership 
  • Maintain confidentiality and handle sensitive matters with discretion 

Qualifications

  • 1–3 years of administrative, operations, or nonprofit support experience (entry-level candidates with strong organizational skills will also be considered) 
  • Strong organizational and project management skills 
  • Excellent written and verbal communication skills 
  • Ability to work independently in a remote environment 
  • High level of professionalism and discretion 

Preferred Experience 

  • Experience working with nonprofit organizations 
  • Familiarity with compliance filings and regulatory requirements 
  • Experience working with external consultants (accounting, legal, etc.) 
  • Basic understanding of financial documenta/on and expense tracking

This is a fully remote position with flexible hours based on organizational needs. The role requires consistent communication and responsiveness during agreed-upon working times.
